Wedding Day Coordination

You Planned It. I'll Run the Day.

On your wedding day, you should be in it, not managing it. I step in weeks ahead and make sure every detail lands the way you planned.

Wedding Day Coordination

What I Provide

Wedding day coordination is a flat 10 hours on site, plus weeks of prep before we ever reach your date.

  • Pre wedding briefings: I meet with you to review your complete timeline and vision, and I communicate with every vendor individually to confirm details and brief them on their role.
  • Arrival and setup oversight: I arrive between 10 and 11 am to oversee setup, check that everything is in place, brief vendors on the flow, and get ready for guest arrival.
  • Vendor communication and timing: I keep every vendor on track. Photographers know when to be where. Caterers know the timing. Musicians know their cues. Everyone is aligned.
  • Timeline management: Your day flows the way it was planned. Ceremonies start on time. Transitions are smooth. If timing needs adjusting, I adjust it before it becomes a problem.
  • Problem solving: A vendor question, something unexpected, a guest logistics issue. I solve it quietly, so you’re never managing logistics.
  • Family and wedding party coordination: I brief your family and wedding party on their roles and timing, and I’m the point person for any last minute questions.
  • Guest experience flow: I manage how guests move through your celebration. Parking, seating, transitions and flow. Your guests experience a seamless day.
  • Photo and video facilitation: I coordinate with your photographer and videographer, so they have access, know the timing for key moments, and have every special request you’ve made.

Our Process

Wedding day coordination officially kicks in about a month out, but the prep starts well before your wedding day.

  • Step one: Booking and intake: We meet, go over what you have booked and planned, and I gather every detail I’ll need to run your day.
  • Step two: Timeline and vendor prep: I build your master timeline and detailed vendor communication plan based on your vision and everything you’ve shared.
  • Step three: Two detail meetings: We meet four weeks and again two weeks before your wedding to walk through the timeline, confirm details and lock in your vision.
  • Step four: Vendor confirmations: I contact every single vendor individually to confirm details, brief them on their role, and send the final timeline the week before.
  • Step five: Rehearsal: I run your rehearsal, so your wedding party knows exactly what to do, where to stand and when to move.
  • Step six: Wedding day: I arrive between 10 and 11 am and spend 10 hours on site managing setup, vendors, timing, family and every last detail.

You Planned a Beautiful Wedding.

Let me make sure the day itself feels just as good as you imagined.

Our Services

The Reality Most Couples Face

You’ve planned everything. Your timeline is solid. Your vendors are confirmed. Your design is beautiful. Everything is ready. Then wedding day arrives and you realize: someone needs to be managing this in real time. A vendor is arriving. The florist needs direction. The caterer has questions. Someone’s in crisis. The timeline is running behind. There are a hundred small decisions and problems happening all at once. And you’re in a wedding dress. Instead of experiencing your wedding, you’re problem-solving. Instead of being present, you’re managing logistics. You’re the default coordinator because no one else is.

Wedding Day Coordination Solves This

Ashley is the person behind the scenes managing everything. She arrives early to oversee setup. She coordinates vendor arrivals. She manages the timeline, cueing transitions. She solves problems quietly—late vendor, guest need, timeline adjustment. She keeps everything flowing. You’re not involved in a single logistics conversation. You get ready, see your partner, say vows, celebrate. Ashley manages the operation so you experience the emotion.

Why Couples Really Choose This

Not because they can’t handle stress. Because they deserve to experience their wedding as a couple, not as coordinators. Because no amount of planning eliminates the need for real-time management. Because a bride in a wedding dress cannot simultaneously solve vendor issues and stay emotionally present. Because having someone trusted managing the day frees you to actually live it.

What Changes For You

You actually get to be a bride or groom instead of a project manager. You’re not solving vendor problems. You’re not managing family. You’re not keeping the timeline on track. You’re getting ready, feeling beautiful, experiencing moments, celebrating. Your wedding day is the first time you get to actually live it instead of manage it. You remember your vows instead of remembering stress. People comment on how present and joyful you seemed. Because you were.

The Investment

Wedding Day Coordination is the most affordable service because it’s focused on one day. You’re paying for expertise during event execution, not months of planning. Pricing is customized. Contact Ashley for a quote.

Questions

Questions Couples Ask

What time do you arrive on my wedding day?

I arrive between 10 and 11 am to oversee setup, brief vendors and be ready when guests arrive. I’m contracted for 10 hours, so I usually leave at open dancing. By then, everything has been coordinated ahead of time, so the rest of your night is taken care of.

I manage the setup and help with small personal items, but setting up a wedding takes more than one person. I require a team of 2 to 3 people to help. That can be family and friends, and I’ll coordinate them, so they know exactly what to do and when. If you’d rather keep your people free to enjoy the day, I can hire help for a couple of hours instead.

I meet with you in the weeks before your wedding to learn your vision and timeline. Then I communicate with every vendor individually to confirm details and brief them. By your wedding day, everyone knows their role.

That’s literally my job. A vendor is running late? I handle it. Something unexpected comes up? I solve it. Logistics need adjusting? I adjust them. You don’t even know about the problems because I take care of them.

Of course. Just remember that the whole reason you’re hiring a wedding day coordinator is so your family and friends can be present and enjoy your day with you. If someone would still love to help or be my go to person for questions during the day, I’ll gladly work alongside them, so we’re a team.

Reasonable changes can happen. The closer to your date, the more complex they become, but I’ll work with you to adjust whatever is possible.
